Event registration & e-certificates, step by step

This system lets you open event registration with a QR code, automatically generate a PDF e-certificate for every participant, and see full statistics reports by gender, age and race.

The screenshots show the Bahasa Melayu interface; the buttons and labels in this guide use the English names (the app can be switched to English with the BM | EN switch at the top of every page).

Signing in

  1. Open e.nuna.nz/admin on a computer, tablet or phone.
  2. Enter the e-mail and password given to you by the superadmin, then tap Sign in. Tap the eye icon at the end of the password field to see what you typed.
  3. You will be taken to the event list. Tap Sign out (top right) when you are done, especially on a public computer.

Do not share your password. After 10 wrong attempts within a minute, sign-in is blocked temporarily. Forgot your password? Ask the superadmin to generate a new one, then change it yourself under My account.

Each organiser only sees their own events. The superadmin sees all events and has the Superadmin panel.

Organiser

Create an event

The admin home page lists all events with their registration status, certificate template status and number of participants.

  1. Tap + New event.
  2. Fill in the event name, start date and organiser (for example the name of a department, school or association — this name is shown to participants in the privacy notice on the registration form). The end date, venue and description are optional — the description is shown above the form.
  3. Set the URL slug, for example kem-kepimpinan → the form is at e.nuna.nz/kem-kepimpinan. Leave it empty to have it generated automatically from the name.
  4. Choose the required fields: IC No., e-mail, phone, gender, race, organisation. Full name is always required.
  5. Set the serial number prefix (for example KKP → KKP-2026-0001), then Create event.

The slug is locked after saving. This is on purpose: a QR code that has already been printed or shared will always lead to the right form. Everything else can be changed in the Settings tab.

Organiser

Registration QR & opening the form

As soon as the event is created, the Summary & QR page shows the QR code that leads to the registration form.

Share the QR early

The QR can be printed and shared before registration opens. Anyone who scans it while the form is still closed will see the message "Registration has not opened yet" — the form is not shown.

  1. Download PNG for WhatsApp/social media, or SVG for large prints (banners, bunting). The file name follows the event name, for example QR Pendaftaran - Kem Kepimpinan Pelajar 2026.png.
  2. A4 poster opens a print-ready page with the event name, date, a large QR and the link.
  3. When ready, tap Open registration. Tap Close registration when the event is over or the quota is full — the form also closes by itself when the participant limit is reached.

Closing registration does not block certificates. Participants who have already registered can still download their certificate through their link at any time.

Test the QR with your own phone before printing it in large quantities.

Organiser

Set up the e-certificate

You only need one template — a certificate design without the participant's name. The system writes the participant's name on it and generates an A4 PDF. The event date is usually already part of your design, so by default the system prints the name only. The MyKad No., date and serial number can be added if needed.

  1. Open the Certificate tab and choose Landscape or Portrait (A4).
  2. Choose a template: tap Choose from the gallery, filter by category or orientation, pick one, then Use this template. Or upload your own (PNG, JPG or the first page of a PDF, maximum 30 MB; best size 2480 × 1754 px landscape or 1754 × 2480 px portrait). Changing the template keeps your text positions.
  3. Drag the participant's name into place — or select a field and tap directly on the certificate to move it there.
  4. Other fields: the buttons above the certificate are grouped into Participant (name, MyKad No., participant code, serial number) and Event (event name, date, venue, organiser — the text is taken straight from the event). Select a field, tick Print … on the certificate, then drag it. Fields marked ✓ will be printed.
  5. Adjust the size, font, colour and alignment. Use Centre horizontally, Centre vertically or Centre fully for an exact position.
  6. Tap Save, then Sample PDF to see the real result.

Your own text & logos

  • + Text adds free text (up to 10, maximum 200 characters, multiple lines with Enter). Type the text in the panel, then choose the font, size, colour and alignment. Example: "In appreciation of your contribution as a facilitator".
  • + Logo / image uploads a logo or signature (PNG or JPG, maximum 5 MB; transparent PNGs are kept; up to 8 images). The image appears in the middle — drag it to move it, pull the circle in the corner or use the Width slider to resize it. Choose Behind the text or In front of the text.
  • The Layer panel lists everything on the certificate: tap a name to select it, the eye icon to print/hide it, the bin icon to delete a text or image. A text layer's name is its first line — change the text to change the name.
  • Saved images (x / 8): each event can store up to 8 images — including ones no longer used on the certificate. The list under the + Logo / image button shows every image and a Delete from storage button; deleting an image also removes it from the certificate.
  • If an upload fails, the message explains why (format, size or number) and what to do.

Try it yourself

Drag the name on the certificate below, or use the centre buttons. When the text is close to the middle, it snaps to the red guide line — just like in the system.

Sample certificate template
PARTICIPANT NAME SAMPLE
x 50.0% · y 50.0%

The result: the participant's PDF certificate

A name (or custom text) that is too long is shrunk automatically in the PDF so it does not run off the certificate; the preview in the editor does not shrink it, so use Sample PDF to check. The template can be replaced at any time; certificates are generated when they are downloaded, so participants always get the latest version.

Release certificates after the event

By default participants can download their certificate as soon as they register. If you want them to wait — for example until the event is over or attendance is confirmed — choose After the organiser taps "Release certificate".

  1. Open the event's Settings and choose When can participants download their certificate? → After the organiser taps "Release certificate", then Save. Existing events stay on "As soon as they register".
  2. Participants still register as usual and get a participant code and a link. Their page says Certificate not released yet; the same link works as soon as you release the certificates.
  3. When the event is finished, open the event page (the Summary & QR tab), find the Status card, and tap Release certificates. Check the Sample PDF first, then confirm in the box that appears.
  4. Made a mistake? Tap Withdraw on the same card — participants cannot download until you release them again.
  • The event tabs and the event list show a Certificate not released yet badge (yellow) or a Certificates released badge (green) for events of this kind.
  • The Release certificates button cannot be tapped until a certificate template has been uploaded.
  • You can always view the Sample PDF and download a participant's certificate yourself, even if it has not been released.
  • Releasing and withdrawing are recorded in the audit log (without participant names).

Participant

How participants register & get their certificate

  1. Scan the QR on the poster or open the link shared by the organiser.
  2. Fill in the form. Your full name is printed on the certificate — check the spelling before tapping the button.
  3. Above the register button there is a short Privacy Notice and a box you must tick ("I have read the Privacy Notice…"). Tap the full Privacy Notice to read the complete text in a new tab — your form is not lost. Registration cannot be submitted unless the box is ticked.
  4. Tap Register & get your e-certificate. The next page immediately shows the Download e-certificate (PDF) button and your personal QR.
  5. Tap the green Save to my WhatsApp button to send your registration details, participant code and certificate link to your own number on WhatsApp (you can choose the number). Nothing is sent automatically — you are the one who taps "Send" in WhatsApp. The IC number is only partly shown.
  6. Save the link and the 6-character participant code, and take a screenshot of that QR — any of them can be used to download your certificate again at any time.

Do not register twice. Registering again (even with the same IC No.) creates a second participant record with its own code and certificate. If you lose the link, use Find my certificate. If the template has not been uploaded yet, the page tells you the certificate will be available later through the same link.

5a
Participant

Participant code, verifying a certificate & name corrections

Participant code & finding your certificate again

After registering, you receive a 6-character participant code (for example K7P2QX) on the success page. Keep this code — take a screenshot or tap Copy code.

  1. Open e.nuna.nz/sijil (or the Find my certificate link below the registration form).
  2. Type your code and the phone or e-mail you used when registering, then tap Find certificate.
  3. Tap Download e-certificate (PDF).

Lost your link? Use Find my certificate — do not register again, because that creates a second record. A code cannot be looked up by name or IC No.; the code and the phone/e-mail must match, to protect other participants' data.

Verify a certificate

Employers, schools or anyone holding a certificate can verify it at e.nuna.nz/semak: enter the participant code and the name as printed on the certificate. If they match, the page shows Valid ✓ — name, event and date match together with the event name, date and organiser. If not, it shows No match without saying whether the code or the name is wrong. This page does not display the participant's name.

Verify a certificate with the QR code

A certificate can carry a verification QR (the organiser switches it on in the Certificate tab, row QR semakan; it is on by default for new events). Scan it with a phone camera: the Certificate valid ✓ page shows the partly masked name and the last 4 digits of the MyKad, for example Nu* Ais*** binti Con*** and ••••••-••-1234, with the certificate no., event, date and organiser. Compare the name and the 4 digits with the certificate in your hand — if they differ, the certificate may have been altered. The QR does not open the certificate PDF. If the certificate has not been released or its data has been deleted, the page says so and shows no personal data. (The data in this example is fictitious.)

Request a name correction

Name misspelt? Open e.nuna.nz/pembetulan, type your participant code, the phone/e-mail you registered with, the correct name and the reason, then tap Send request. The organiser will review it. If approved, the certificate is regenerated with the new name — your link and code do not change.

For organisers

  • The Corrections tab lists the requests (newest on top) with a count badge, for example Corrections (2).
  • Approve changes the name (old name → new name is shown); Reject needs a short note so the reason is clear.
  • In the Participants tab, the code is shown below the name and can be searched. A yellow possible duplicate badge means another participant in this event has the same IC No. — check it, and delete the extra record if it is the same person. Duplicates are deliberately not blocked: the form never says that an IC No. is already registered, so nobody can test whether a person attended (privacy).
  • In the Certificate tab, the Participant code field can be printed on the certificate like any other field.

Manage participants

The Participants tab lists all registrations, newest on top, with gender, race, age and certificate download status.

On a phone, each participant is shown as a card and the IC No., e-mail and phone are masked (for example ••••••-••-1234). Tap Show to see the full data for that card only; tap Hide to cover it again. On a computer screen the data is shown as usual.

  • Edit — correct the spelling of a name. Certificates downloaded after that use the new name straight away; the participant's link does not change.
  • Add manually — register a walk-in participant or someone without a smartphone.
  • PDF / Link — download the certificate on the participant's behalf or copy their personal link.
  • CSV export — a file for Excel with all fields, including age.

Organiser & secretariat

Attendance: check-in for each session

Use Attendance when your event has several sessions (for example morning, noon and evening) and you want to know who actually came. Participants scan a QR code on the hall screen with their phones, and you can choose whether the certificate depends on attendance. It is off by default: events that do not switch it on work exactly as before.

1. Switch attendance on & choose the certificate rule

  1. Open your event, go to the Settings tab and find the Attendance section.
  2. Switch Attendance on.
  3. Choose the Certificate rule: No condition (the default; attendance is recorded but everyone can still get a certificate), Attended every counted session, or Attended at least N sessions (type the number N).
  4. Press Save. A new Attendance tab appears on your event.

If in doubt, leave No condition. With the other rules, only sessions marked Counted for the certificate count. A participant who is not yet eligible can still be given the certificate by the secretariat (see Allow certificate below). The certificate still needs a template and Release certificate as usual.

2. Add, rename & reorder sessions

On the Attendance tab, the Sessions section lists every session with its status and attendance count.

Press Edit, reorder or add sessions to:

  • Add — type a session name (for example Morning session), a start time if you like, then Add session.
  • Rename — change the name or time, then Save session.
  • Reorder — use the up/down arrows.
  • Counted for the certificate — untick for a session that is not needed for the certificate (for example a dinner).
  • Close automatically at — optional: the session closes by itself at that time.
  • Delete — only possible while nobody has checked in. After that, just close the session.

3. Open & close check-in

Every session starts as Not opened yet. Press Open check-in when the session starts and Close check-in when it ends. Once closed, anyone who scans is asked to see the secretariat. You can reopen it at any time. Every open and close is written to the audit log.

4. QR display in the hall

  1. On the laptop connected to the projector, press QR display for that session. A new page opens.
  2. Press Full screen. The screen shows the session name, a big QR, a short address and the number of people present, which grows by itself.
  3. Ask participants to scan the QR with their phone camera. The QR changes every 30 seconds, so a picture shared on WhatsApp stops working. If there is no projector, a phone held up works too.

The Static QR (printable) is only for venues without a screen. It never changes, so anyone who gets a picture of it can check in from far away. To use it, untick QR changes every 30 seconds for that session, then press Static QR.

5. What participants see

  • The phone used at registration: after scanning, the participant sees their name and code. Press Confirm attendance and that is it. The next page shows the check-in time, which sessions are done and which are missing, and whether the certificate is available yet.
  • Another phone (for example borrowed from a friend): press Not me? Identify with your code, then enter the participant code and the phone or e-mail used at registration.
  • Not registered: press Register now and fill in the normal form, even if registration is closed. Attendance for that session is recorded straight away and the record is marked Registered on site.
  • No phone: the participant goes to the secretariat, who marks attendance manually (section 6).

If the QR has expired, the participant sees "This QR code has expired. Scan the QR on the hall screen again." If the session is closed: "Check-in for this session is closed. Please see the secretariat." The participant's phone is remembered for 120 days after registration so that check-in takes one tap; this is stated in the Privacy Notice. (The screenshots show the Bahasa Melayu interface.)

6. Attendance card, manual marks & "Allow certificate"

The Attendance card section (on the Attendance tab) is a table of participants × sessions. A green cell means present at that time; — means not checked in.

  • Manual mark: tap an empty cell to mark a participant present (for example someone without a phone). A confirmation box appears and the action is written to the audit log. A manually marked cell shows M. Tap a green cell again to remove the mark.
  • Registered on site — a badge for participants who did not pre-register.
  • Eligible / Not eligible — according to the rule you chose (not shown for No condition).
  • Allow certificate — give the certificate to a participant who is not yet eligible (for example who missed an early session). An Allowed by secretariat badge appears; press Cancel permission to take it back. Written to the audit log.
  • Filter — search by name or code, show who has not attended a given session, who registered on site, or who is eligible / not.

On a phone, each participant is shown as one card with a small button for every session.

7. CSV & report

  • The Participants tab gains an Attendance column (for example 2/3). CSV export adds one column per session (check-in time, or empty), plus Registered on site and Eligible.
  • The Report tab gains Attendance by session: the number present and the percentage of those registered, for each session. The existing Statistics filters still work.

"Event day" checklist

The day before

  • ☐ Attendance is on and the certificate rule is chosen.
  • ☐ All sessions are added with the right name, time and Counted for the certificate.
  • ☐ Connect the laptop to the projector and open QR display to make sure it shows clearly.
  • ☐ Registration is open and the registration QR has been shared.

On the day

  • ☐ When a session starts: press Open check-in, open QR display and press Full screen.
  • ☐ Announce: "Scan the QR with your phone camera, then press Confirm attendance."
  • ☐ One secretariat member at a desk with the Attendance tab open, for participants without a phone (manual marks).
  • ☐ When the session ends: press Close check-in. Repeat for the next session.

After the event

  • ☐ Check the Attendance card; use Allow certificate for special cases.
  • ☐ Make sure every session is closed.
  • ☐ Release certificate when ready, and download the CSV if needed.

Statistics report & filters

The Report tab shows a summary and charts: daily registrations, registrations by hour, certificate downloads, gender, age by gender, race and top organisations.

Filter the statistics

Use Filter the statistics to see only some of the participants — for example Malay aged 7–18 and Chinese / Indian female aged 13–15. Each set of choices is called Statistic 1, Statistic 2 and so on.

Within one statisticall choices must be met: Malay and aged 7–18.
OR
Between statisticsa participant is counted if they match any statistic — only once.
  1. In Statistic 1, open the Race menu and tick one or more races (leave "All races" if you do not want to filter), fill in the age range, and choose a gender if needed.
  2. The badge above each statistic summarises your choices, for example Statistic 2: Chinese / Indian, 13–15 years, Female. Only the choices you made are shown.
  3. Tap + Add statistic for the next statistic (up to 10). Reset inside a statistic clears that statistic only.
  4. Tap Filter in any statistic. All statistics are applied together, the charts are recalculated, and the Comparison of statistics table is shown.
  5. CSV export and Print report follow the same filter. Tap Reset all to go back to all participants.

Age is worked out automatically from the IC No. (12-digit MyKad) on the event start date. Participants without a valid IC No. — for example a passport number — are counted as "no age" and are not included in groups that have an age condition.

The filter is saved in the page address. Bookmark the page to come back to the same report later.

My account & password

Click your name in the top right corner to open My account.

  1. Update your name, organisation and phone.
  2. To change your password: fill in your current password, then the new password twice (at least 10 characters, with letters and numbers), and tap Save.
  3. Organisers who need to change their sign-in e-mail must contact the superadmin. A superadmin can change their own e-mail on this page — the current password is required.

Signing in for the first time with a password given by the superadmin? Change it to your own password straight away.

Superadmin

Superadmin panel & dashboard

The superadmin is taken straight to the Superadmin panel after signing in (or click Superadmin panel in the top menu). The panel has seven tabs: Dashboard, Organisers, All events, Participant search, Audit log, Settings and System.

  • Key figures — total participants (today, 7 days and the change compared with the previous week), open and upcoming events, active organisers, the percentage of certificates downloaded.
  • Needs attention — open events without a certificate template, events that are nearly full, organisers who have never signed in, and failed sign-in attempts. Click to go straight to the related list.
  • Charts — registrations over 30 days, plus gender, age and race for all events.
  • Top events, upcoming events and the latest activity of all users.

Manage organiser accounts

The Organisers tab lists all accounts with their number of events, participants and last sign-in.

Create an organiser account

  1. Tap + Organiser account, then fill in the name, e-mail, organisation and phone. The default role is Organiser.
  2. Leave the password empty to have one generated automatically, then tap Create account.
  3. The password is shown only once. Tap Copy and send it to the organiser privately (for example by WhatsApp), together with the address e.nuna.nz/masuk.

Manage existing accounts

Click Manage on any account:

  • Suspend account — the organiser can no longer sign in (any active session is also ended). The registration forms and participant certificates for their events keep working. Tap Activate account to restore it.
  • Generate new password — for an organiser who forgot their password. The old password stops working immediately.
  • Delete account — choose a recipient account for the events owned by that organiser. Events and participants are not deleted.
  • Role — switch between Organiser and Superadmin. The system always makes sure there is at least one active superadmin.

"Sign in as" an organiser

To help an organiser, tap Sign in as. You see the system exactly as that organiser does — only their events. A red bar at the top reminds you; tap Back to superadmin when you are done.

All actions taken while "signing in as" are recorded in the audit log under your name (marked "as …"). The Superadmin panel cannot be opened in this mode.

All events, participant search & audit log

All events

A list of every event in the system with its owner, registration status, template status and certificate download rate. Filter by owner or status (for example No template). You can open/close registration or transfer ownership of an event to another organiser straight from the list. Click an event name to open the event page as the organiser would.

Participant search (PDPA)

When someone asks "what data of mine do you keep?" or requests "delete my data":

  1. Search by IC No. (with or without hyphens), name, e-mail, phone or serial number — across all events.
  2. Export results (CSV) to give that person a copy of their data.
  3. To delete: tick the records, type PADAM, tap Delete selected. Their certificates can no longer be downloaded.

Audit log

A permanent record of every important action: sign-ins (including failed ones), creating/changing/deleting events, templates, participants, CSV exports, accounts, settings and data deletion. Filter by action, user and date; CSV export to keep a copy. The log cannot be changed or deleted.

Certificate template library

The Template tab is the gallery of blank templates (without names) that all organisers can choose from. A4 only.

  • Upload: fill in the Category (for example Course, Seminar), choose one or many files (PNG, JPG or PDF, maximum 30 MB each) and tap Upload. Each file is uploaded and checked on its own: you see a ✓ or the reason for failure for every file, and one broken file does not stop the others.
  • Change the name, category and order number on the template card, then Save. Untick Active to stop offering it to organisers.
  • Delete is only possible if no event uses it; if one does, the system tells you how many events and suggests deactivating it instead. Certificates of events that already chose the template are not affected — they keep their own copy.
  • Filter the list by category, orientation or active status.
S5

System settings & health

  • Close ALL registration forms — an emergency or maintenance switch. Visitors see your message; each event's own open/closed setting does not change and certificates can still be downloaded. A red bar is shown in the panel while this switch is on.
  • Announcement — a yellow message at the top of every admin page, for example a maintenance notice.
  • Event limit per organiser — 0 means no limit.
  • Default serial number prefix and the help contact shown to organisers.
  • Data retention period — how many months participants' contact details are kept after an event ends.

System

The System tab shows the health of the system (database, storage, security). The Anonymise old data button erases participants' name, IC No., date of birth, e-mail, phone, organisation and IP address for events that ended longer ago than the retention period. Only gender, race and year of birth are kept, without names, for statistics. After that, certificates can no longer be found or verified. Type ANONIM to confirm.

Frequently asked questions

I missed downloading my certificate. How do I get it again?

Open your personal link again or scan the QR shown after registering. If you have lost it, open e.nuna.nz/sijil and enter your 6-character participant code.

My name is misspelt on the certificate.

Open e.nuna.nz/pembetulan, enter your participant code and the correct name. After the organiser approves, download the certificate again through the same link — the new certificate will use the correct name.

Can I use dark mode?

Yes. The round button at the top of the page switches between Auto (follows your phone or computer setting), Light and Dark. The choice is remembered in your browser only. Certificates and PDFs do not change colour.

Can I change the slug or form link after the QR has been printed?

No — the slug is locked so that QR codes already shared do not break. If you need a new address, create a new event.

Participants registered before the certificate template was ready. Do they have to register again?

No. Certificates are generated when they are downloaded. As soon as the template is uploaded, the same link gives the certificate.

Why do some participants have no age in the report?

Age is read from the 12-digit IC No. If a participant entered a passport number, an old IC No. or made a typing mistake, the age cannot be calculated. Correct the IC No. with Edit in the Participants tab.

My template is portrait but the certificate has white space at the sides.

The certificate orientation does not match the shape of the template. Change the orientation in the Certificate tab to Portrait — the system shows a warning when the shape does not match.

How do I close registration automatically?

Set the Participant limit in the Settings tab. The form rejects new registrations as soon as the limit is reached.

My template already has the date. Why is the date not printed?

By default the system prints the name only because most templates already contain the event date. If needed, click the Date field in the Certificate tab and tick Print the date on the certificate. The same goes for the MyKad No. and serial number.

I forgot my password.

Contact the superadmin to generate a new password, then change it to your own under My account.

An organiser is leaving. What happens to their events?

Suspend the account to block sign-in — events and certificates keep working. Or transfer ownership of the events to another organiser, then delete that account.

Someone has asked for their data to be deleted (PDPA).

Use Participant search, search by IC No., tick all their records, type PADAM and tap Delete selected. The action is recorded in the audit log without storing that person's personal data.

What if I am locked out of the superadmin account?

The server administrator can restore superadmin access with a recovery command on the server. Contact the server administrator.
